So you’re engaged (CONGRATS!!!) and starting to plan your wedding. Most couples will choose a venue first and then decide to either work with a wedding planner/coordinator or opt to save on money and cut costs by going soley with the venue coordinator. This happened to a friend recently, which prompted me to write this post.
She found a beautiful venue and was told that the venue came with a coordinator (YAY!) However, she’s quickly learned that this coordinator is NOT a wedding coordinator and is the venue coordinator for the venue, which is a big difference. Most couples would assume the coordinator is the same thing, but I’m here to tell you they are not the same thing, so keep reading if you want to save yourself a lot of time and stress.
A wedding coordinator works for the couple for the entirety of the wedding. They usually come in 30-60 days before the wedding date and take over your planning. They will start to contact all of your vendors, create the wedding day timeline, and get to know your wedding day plans (so that you can let go and focus on enjoying the weeks leading up to your wedding day).
A venue coordinator on the other hand, works for the venue. They typically have a lot of couples to manage, so aren’t as invested in you and your wedding until the day of. A venue coordinator may provide vendor recommendations but they will not be the main POC for your wedding vendors. A venue coordinator provides more of a micro level/picture of your wedding, in particular pertaining to the reception or catering functions. So they will ensure the venue is prepared, may guide rental deliveries and room layouts. They may also have a timeline relating to food and serving times that is created for the kitchen and wait staff. A wedding coordinator on the other hand, will organize and be the main POC for your vendors all the way leading up to your wedding day. A wedding coordinator provides the big picture, creates the timeline for the whole day, coordinates all of the details for the ceremony (and reception) and ensures your entire wedding day is running smoothly, from the morning to until the last guest leaves.
Both are needed, but a wedding coordinator is essentially the captain leading the ship, and a wedding coordinator is needed to minimize stress and most importantly, allows you to be the guest at your own wedding, which is the biggest goal.
If your wedding is small enough, you can definitely save money by only working with a venue coordinator but if your wedding is a bit bigger, it is definitely recommended to hire a wedding coordinator so that you can feel confident everything is taken care of 30-60 days leading up to and ON your wedding day.
